When a global brand engaged Architects of Vibe to deliver their annual gala dinner in 2025, the brief was clear: bring the Mediterranean to the Mirage ballroom. The event needed to feel bold, immersive and far removed from a traditional corporate function. The catch: there was only a 3-hour window between afternoon plenary sessions and pre-drinks.

Working closely with our client and the fantastic team at the Sheraton Mirage Gold Coast, AOV completely transformed the Ballroom and Foyer areas into a mediterranean oasis, completely surprising the delegates who had been there just hours earlier in a ‘standard’ conference setting.

The Brief

Having worked closely with this client for the past few years, we thoroughly look forward to hearing what the brief is each time round. And this year’s pitch was the best yet: Euro Summer.

Sun. Sea. And spritzes!

But with such a distinctive and iconic aesthetic, the challenge lay in managing to bring this look to an indoor resort ballroom environment (while balancing creative ambition with practical logistics, brand integration and a defined production timeline).

The Creative Concept

With just two months from confirmation to delivery, our team of talented designers and fabricators got to work and produce a completely new range of assets specifically for this event.

The first point of action was workshopping a custom Mediterranean-style visual. Taking inspiration from beach clubs, sunset bars and traditional iconography, our in-house design team created the final design which was then fabricated into banners, lightbox prints, table decals and bar surrounds, creating a synergy in the space. This approach also allowed us to re-clad existing inventory, reducing single-use waste while making the most of the client’s budget.

Another key feature of the theme was the ocean, which we sought to incorporate with swooping drapes and blue lighting features.

And you can’t think of Euro summer without thinking about food. Having worked in ballrooms and convention centers across the country, a main piece of post-event feedback from all large-scale events is that delegates find it difficult to find catering stands amongst a sea of hundreds of people. As a solution, we manufactured a handful of food station surrounds (including a 4m overhead banner) that solved that problem, while giving a creative edge to the cross-continental cuisine areas.

Event Management & Delivery

With a near impossibly small window between plenary sessions and pre-drinks, structured planning was critical. Our Gold Coast Event Management team coordinated custom fabrication, supplier scheduling, venue logistics and on-site execution to ensure every element aligned with the creative vision.

As always, delivering large-scale corporate event production on the Gold Coast within an operational resort required precise staging plans, compliant rigging solutions and tightly managed bump-in and bump-out schedules.

Our strong relationship with the venue team meant all these logistics were planned to perfection, while our local presence allowed us to move efficiently, leverage in-house resources and maintain consistent quality throughout the entire production process.

The Result

The Mirage Grand Ballroom was completely transformed into a bold, immersive environment that reflected both the client’s initial ideas and the vibrant creative abilities of the AOV team.

Custom-built archways and bars, overflowing with foliage and lemons, immediately set the tone for the evening, transporting the guests to a Greek oasis.

LED arches ranging from 2-5m high provided an oceanic glow around the room, mirrored by our LED rings (both backed with our custom med-print fabric). Flowing chiffon fabric was swooped around the ceiling to replicate the ocean, while shells and fishing nets provided a fun talking point as centerpieces. These larger-than-life installations created visual impact from every angle and connected the interior and exterior environments seamlessly.

Our food station theming packages were dressed with region-specific props and foliage, while our ‘Spritz Bar’ neon sat on top of a vespa display for the guests who were a little bit thirsty.

This project highlights how strategic creative direction combined with experienced event delivery can elevate a corporate celebration beyond expectation.

For brands seeking a trusted partner in corporate event management on the Gold Coast, this event demonstrates how strong concept development, production expertise and seamless coordination come together to deliver high-impact, memorable experiences.
